Transactions page overview

The Transactions page is where you can see all of your transactions. You can edit your transactions, as well as analyze them.

A good way to think about the Transactions page, is that it is a search results page. So the transactions shown are based on the criteria of a search. You can change the search criteria by clicking on the sidebar options or using the search directly. The criteria for the current search is shown in the top of the side bar.

The sidebar provides easy access to different search criteria:
  • Uncategorised items - all the transactions that don't have a category
  • Awaiting confirmation - see article: Reviewing imported transactions
  • All transactions - clicking this is an easy way to clear all search criteria
  • Search results - if using extra criteria from the seach box
  • Saved Searches - searches from the search box that you wanted to save
  • Accounts - All of your transaction accounts, this doesn't include asset and liabilities as they don't have transactions
  • Categories - All of your categories

At the top of the main section you have:
  • Line graph - This shows the balances for all accounts or the balance for the accounts in the search criteria
  • Pie chart - Shows a breakdown of the categories for the current search, see article: Transactions page pie chart
  • Search - Click the magnifying glass icon to open the search box, see article: Searching your transactions

Above the transactions you have the toolbar, more options show when transactions have been selected:
  • Category (Only shows when transactions selected) - Allows you to add a category to the selected transactions
  • Labels (Only shows when transactions selected) - Allows you to add labels to the selected transactions
  • More (Only shows when transactions selected) - Edit the selected categories with multiple criteria, see article: Edit many transactions in bulk
  • New - Upload transaction files or manually add transactions
  • Tools - Special searches for helping locate duplicate and transfer transactions
  • Export - Download the transactions in the current search in XLSX or CSV format, see article: Export specific transactions
  • View density - This changes how the transactions are shown and you can choose: Comfortable, Cozy or Compact
  • Show ____ entries - This is how many transactions are shown on each page, it can be 10, 25, 50, 100, 500 or 1000 (More transactions on each page, may make using the transactions page slower)
  • Arrows - Allow you to move between the different pages of transactions

Just above the transactions table, there are some details about the transactions in the search:
  • The range of transactions shown on the page out of the total transactions in the search, e.g. Showing 1-25 of 194 transactions
  • The total number of transactions in your PocketSmith account, e.g. filtered from 213 total
  • The total of the income and expense amounts of the transactions, e.g. Total of $10,415.30 in and $11,462.09 out

Then you get to the main area of the page, the transactions themselves. The transactions are in a table with 8 columns:
  • Checkbox - This allows you to select multiple transactions to edit and clicking on the checkbox in the header will select all transactions on the page
  • Transfer and pending - The next column shows if the transaction has been marked as a transfer or is a pending transaction from the Bank Feed
  • Date - The date of the transaction and clicking the column header will sort the transactions by date
  • Merchant - The merchant name of the transaction and clicking on the column header will sort the transactions by merchant name
  • Amount - The amount of the transaction, negative amounts are in brackets, and clicking the column header will sort the transactions by amount
  • Category - The category that the transaction is assigned to, clicking on the column header will sort the transactions by category
  • Account - The account the transaction is in, clicking on the column header will sort the transactions by account
  • Balance - The balance of the account at the time of this transaction

You can edit a transaction by clicking on it. Clicking on the different sections will take you directly to that part of the edit form. For more details, see the article: Edit a transaction
